Emplai ("Emplai", "we", "us") provides AI assistants that help businesses answer questions, book appointments, and follow up with their customers. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to emplai.app and the Emplai platform (the "Service").

1. Information we collect

We collect the following categories of information:

• Account information: your name, email address, password (stored only as a secure hash), and organization details when you register.
• Business content you provide: the documents, FAQs, knowledge, AI-assistant configuration, and settings you upload so your AI assistants can answer accurately.
• Customer conversation data: messages exchanged between your customers and your AI assistants, and related metadata (timestamps, channel, contact details your customers provide).
• Usage and device data: log data, IP address, browser type, and how you interact with the Service, used for security and to improve the product.
• Payment information: subscriptions are processed by our payment provider (see section 4). We do not store your full card details.

2. How we use information

• To provide, operate, and secure the Service and your AI assistants.
• To generate AI responses grounded in the business content you provide.
• To process subscriptions, prevent fraud, and comply with law.
• To communicate with you about your account, security, and product updates.
• To analyze and improve the Service. We do not sell your personal information.

3. AI processing and sub-processors

To deliver AI features, relevant content and messages are sent to trusted third-party providers that process data on our behalf, including AI model providers (such as OpenAI) and infrastructure providers for hosting, storage, and search. These providers are bound by their own terms and process data only to provide their services to us. We do not permit them to use your business or customer content to train their models where an opt-out is available to us.

4. Payments

Subscription payments are handled by Lemon Squeezy, which acts as our Merchant of Record. When you subscribe, your payment details are collected and processed by Lemon Squeezy under their own privacy policy. We receive limited information such as your plan, subscription status, and billing country.

5. Your responsibilities as a business customer

When you use Emplai to interact with your own customers, you are the controller of that customer data and Emplai processes it on your behalf. You are responsible for having a lawful basis and appropriate notices or consents to collect and process your customers' information through the Service.

6. Data retention

We retain your information for as long as your account is active and as needed to provide the Service. You can delete content, and you may request deletion of your account and associated data, subject to legal and legitimate business retention requirements.

7. Security

We use industry-standard measures including encryption in transit, tenant isolation, encryption of sensitive fields at rest, and access controls. No method of transmission or storage is perfectly secure, but we work to protect your information.

8. International transfers

We operate globally and may process and store information in countries other than yours. Where we transfer information, we take steps to ensure it remains protected consistent with this policy.

9. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details below.

10. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal information.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above and, for material changes, provide additional notice where required.
